What should I leave out?

Owner contributions and draws, loan proceeds and principal repayments, and transfers between accounts are not ordinary revenue or expenses. Asset purchases may require capitalization and depreciation. Use supported period expense amounts from your records; confirm classifications and tax adjustments separately.

Enter costs once. If payroll or depreciation is already included in direct costs, do not include the same amount again in operating expenses. Income taxes are outside this statement.

Blank amounts count as zero. Use positive amounts, up to two decimal places and no commas. Tool limits: $1 billion per line and 30 lines per section.

How the profit and loss generator works

01 · Start with the same period

Choose your reporting dates and the accounting basis used in your records. Gather sales reports, returns, expense ledgers, payroll and recognized direct costs. Enter each cost once and use period COGS rather than treating every inventory purchase as an expense.

02 · Calculate each subtotal

Revenue minus returns and allowances equals net revenue. Subtract direct costs for gross profit, then operating expenses for operating profit. Add other income and subtract other expenses for net profit or loss before income tax. Amounts are calculated in cents.

03 · Review and print

Review every line, any negative results and missing records. Gross and net margins divide profit by positive net revenue; zero or negative net revenue has no calculated margin. Generate the statement, print or save a PDF, or download the complete text/CSV report.

The IRS illustrates net receipts and gross profit in Publication 334. Tax-return treatment can differ from book results. This statement does not test deductibility or estimate tax.

Small business P&L examples

Service business

$12,000 revenue → $6,000 profit

With no returns, $12,000 revenue and $2,000 direct costs give $10,000 gross profit. Subtract $4,000 operating expenses for $6,000 profit before income tax. With no other activity, gross margin is 83.33% and net margin is 50.00%.

Retail business

Returns and costs create a $1,000 loss

Sales of $20,000 less $1,000 returns leave $19,000 net revenue. Subtract $11,000 COGS for $8,000 gross profit, then $9,000 operating expenses for a $1,000 loss before income tax. Gross margin is 42.11%; net margin is −5.26%.

Profit and loss statement questions

What is a profit and loss statement?

A profit and loss statement, also called a P&L or income statement, summarizes revenue, costs and expenses over a reporting period. This generator shows net revenue, gross profit, operating profit and net profit or loss before income tax using the figures you enter.

Is this profit and loss statement generator free?

Yes. The complete statement, printable version and text/CSV exports are free. No account, email, document upload or consultation is required. You can use your own figures or load an illustrative service-business or retail example.

Can I make a monthly, quarterly or annual P&L?

Yes. Enter start and end dates for your reporting period, and use revenue and expenses from that same period. Dates do not change the arithmetic or allocate amounts between periods. The tool supports one period at a time; it does not create a comparative multi-period statement.

How do I save my profit and loss statement as a PDF?

Generate the statement, then choose Print / Save PDF. Select Save as PDF in your browser’s print dialog. The printable version includes line items, totals, notes and limitations. You can also download a CSV for spreadsheet use or a complete text summary.

What is the difference between gross profit and net profit?

Gross profit is net revenue after returns and allowances minus cost of goods sold or direct costs. This tool subtracts operating expenses for operating profit, then adds other income and subtracts other expenses for net profit before income tax. It does not calculate income tax or after-tax profit.

Should owner draws, loans or equipment purchases be included?

Owner contributions and draws, loan proceeds, principal repayments and transfers are not ordinary P&L revenue or expenses. Interest can be an expense. Equipment may require capitalization and depreciation rather than immediate expense treatment. Enter period amounts already classified in your records and review accounting and tax treatment separately.

Does choosing cash or accrual basis convert my figures?

No. The selection labels the accounting method used in your records. You must enter figures recognized under that method for the selected period. This tool does not convert cash receipts into accrual revenue or determine timing, inventory valuation, depreciation or tax adjustments.

Are my business name and financial entries saved?

The generator holds entries in this page’s memory. It does not upload or remotely save them, and refreshing the page clears them. Tool analytics records named actions without business names, dates, notes or amounts. Download or print your statement before leaving. Files you save are managed by your device.

Can I use this statement for a lender or my tax return?

Check the recipient’s required format and preparation standards first. The output is a user-prepared statement, not audited, reviewed or compiled by IntegraFin. It does not determine tax deductions or replace a tax return. Reconcile records and have classifications, adjustments and recipient requirements checked before relying on it.
