How to create an invoice

01 · Add the parties and dates

Enter your business and customer names, a reference from your numbering system, invoice date and due date. Include relevant addresses, contacts and agreed payment instructions. The tool requires dates; it does not choose contractual payment terms for you.

02 · Describe what you provided

Enter quantity and unit price for each product or service. You can bill hours, units or a fixed-price deliverable. Use separate line items for delivery or other charges and enter only the tax rates you have verified for the actual transaction.

03 · Review and save

Check contact details, amounts, terms, tax treatment and any payment already received. Generate and export the full invoice. Keep a copy in your records, then send it yourself using your business’s usual process. The tool does not send or collect payment.

8 hours at $75 plus a $200 deliverable give an $800 subtotal. A 10% per-line discount removes $80. An illustrative entered 8.25% rate on both discounted lines adds $59.40 tax, giving a $779.40 total. Subtract $200 already received for $579.40 due.

Fractional hours

2.5 hours at $80 → $200

Quantity 2.5 and unit price $80 give a $200 gross line. With no discount, zero entered tax and no reported payment, $200 remains due. A zero tax entry is a calculation input, not confirmation of an exemption.

Is this invoice generator free with no signup?

Yes. Generate the complete invoice without an account or email gate. Printing, browser Save as PDF, CSV and text downloads are free. Business and customer details remain in this page’s memory; refreshing clears them, so save your invoice before leaving.

How do I download my invoice as a PDF?

Complete the form and choose Generate my invoice, then Print / Save PDF. Select Save as PDF in your browser’s print dialog. Disable browser headers and footers if you want a clean document. CSV and text are separate downloads; this tool does not email invoices to customers.

What information should I enter on an invoice?

The generator requires your business name, customer name, invoice number, invoice date, due date and at least one described item with a positive quantity and unit price. Addresses, contacts, payment instructions and notes are optional in the tool. Your transaction or jurisdiction may require more information; check those requirements before issuing the invoice.

Can I include hourly work or fractional quantities?

Yes. Quantities accept up to three decimal places and unit prices accept cents. For example, 2.5 hours at $80 per hour gives a $200 gross line amount. Each quantity multiplied by unit price is rounded to cents before discounts and tax are calculated.

Does the generator calculate the correct sales tax rate for me?

No. You enter a verified tax rate for each line. Blank tax rate means zero in the arithmetic; it does not establish that the sale is exempt. The tool does not determine taxability, nexus, location-based rates, exemptions or invoice requirements. Confirm applicable rules with the responsible tax authority or your advisor.

How are discounts and tax rounded?

The percentage discount is applied to each rounded gross line amount and rounded to cents, half up. Each line’s entered tax rate is then applied to its discounted amount and rounded to cents. The tool sums these line amounts. This convention can differ by cents from rounding tax or discount only once on the whole invoice; verify that it suits your transaction.

Can I show a deposit or a partial payment?

Yes. Enter money already received in Amount already paid. The invoice shows the reported payment and subtracts it from the invoice total for the remaining balance. Payments cannot exceed the total in this tool. The generator does not verify receipt, process transactions or create a refund or credit note.

Are invoices saved or sent automatically?

No. The tool does not upload, store or send your invoice. The form keeps details in this page’s memory and clears them on refresh. Downloaded files are saved by your device. Analytics uses only named actions and a fixed tool identifier, without client details, invoice numbers, dates, notes or financial amounts.

Can I use other currencies or tax-inclusive prices?

This generator supports USD and tax added to discounted line prices. It does not support currency conversion, tax-inclusive prices, VAT compliance, withholding, automatic payment terms, recurring billing or credit notes. Tax rates and discounts can range from zero to 100%; quantities and unit prices each have a tool limit of 1 million, with up to 30 items.

This tool prepares a user-entered invoice. It does not determine taxability, rates, exemptions or legal invoice requirements; send invoices; process payments; verify payment receipt; or support tax-inclusive prices, withholding, credit notes or currency conversion.
